The walkthrough below follows one order end to end, admin and buyer side, on the current demo (nbdesigner.cmsmart.net):

  1. On the product page, the buyer starts a custom order — "Start and upload design" sits next to Add to cart.
  2. The buyer designs online or uploads ready artwork; once saved, the product page shows "Your artwork" so the buyer can confirm what will be ordered.
  3. The buyer checks out through standard WooCommerce checkout; the cart and order review carry the design preview, not just a SKU.
  4. Immediately after checkout, the order-received page already shows the proof and print-file status — "Pending review" and "Preparing" at this point, before any staff action.
  5. In wp-admin, staff open the order and see the six-stage timeline (Placed, Paid, Awaiting review, In production, Shipped, Delivered) plus quick actions for the print PDF, WooCommerce editor, refund and cancel.
  6. Staff review the uploaded or designed artwork in the Customer Design box and either Accept or Decline it with a reason.
  7. Clicking Send mail notifies the buyer immediately; the box confirms "Success!" once the email has gone out, and the admin-side approval notification now works correctly in translated stores too (2.17.0).
  8. Once a design is approved, Cmsmart renders the print-ready PDF in the background and the order's artwork screen shows Ready, with the render time, the renderer and a Regenerate button if the file needs updating.
  9. In WooCommerce → Settings → Cmsmart → General, turn on the Print-ready PDF attachment type so the shop's own new-order email carries the certified file instead of a preview, and leave Print-ready artwork emails on so a failed render after three attempts still reaches someone by name, order and reason instead of silently dropping the job.

Does Cmsmart Product Designer add custom order statuses to WooCommerce?

Not as new WooCommerce order-status objects. Instead, it layers proof, print-file and approval status onto the existing order — visible on the order admin timeline, the Customer Design box and the buyer's My Account — which covers what most custom and printed-product stores actually need without touching WooCommerce's core status machinery.

Will buyers see an approval or decline before I notify them?

No. The status pill only changes what it shows after staff act in the Customer Design box, and the "Send notify mail" step is a separate click — nothing emails the buyer automatically until someone on your team decides to send it.

Can the print-ready PDF be attached to the order email automatically?

Yes. Turn on the Print-ready PDF attachment type in WooCommerce → Settings → Cmsmart → General and the certified file attaches to the WooCommerce emails you choose, by default the admin's new-order email; if the PDF is still rendering when the email goes out, a second email delivers it once it is certified.

What happens if a print-ready render fails?

After three failed attempts, Cmsmart sends one alert naming the order, the design and the reason, and points at Create PDF on the order screen, so a failed render never silently leaves an order without its print file. The Print-ready artwork emails setting can turn both the success and failure messages off.

Can a B2B account see order status for an entire company, not just one buyer?

Not out of the box — the built-in status pill and My Account view are per-WooCommerce-account. A shared status view across a company's purchasing team, or a multi-step approval chain before production starts, is custom development we build on top of the same order and design data.

Does this work for orders placed without the online designer, like uploaded print-ready files?

Yes. The Customer Design approval box, print-ready status and notify mail apply to uploaded artwork the same way they apply to a design built in the online editor — the order doesn't need to have gone through the designer canvas to get a status and an approval step.
