Applies to Cmsmart Product Designer (NBDesigner) 2.17.0 · Updated October 2026. "In the plugin" items are verified in the 2.17.0 code and today's captures; partner and ERP connectors are custom development.

In short

  • The outcome: a web-to-print API lets orders, artwork and status flow between your WooCommerce store, your print floor and your partners without anyone re-typing an order or forwarding a file.
  • How it works: the Cmsmart Product Designer produces a print-ready PDF for every order, locks approved artwork, syncs files to storage and fires developer hooks; Cmsmart builds the connector to your MIS, ERP or POD partner.
  • What it takes: a data map (products, options, artwork, status, tracking), a scoped project, and test orders before go-live.

An order lands at 9 pm. By 9 am someone has downloaded the artwork, renamed it, typed the job into production, emailed the print partner and copied the tracking number back. Multiply that by every order, and you are paying staff to shuffle data.

The fix is not more staff; it is a web to print API integration that passes each order and its artwork straight to the system that prints it, and passes status and tracking back. This guide shows the business case, what the Cmsmart Product Designer (NBDesigner) already does for the artwork side on WooCommerce, and how Cmsmart builds the rest as a custom integration.

The goal of the integration: orders reach the press without being typed in twice.

What does manual order handling cost a print business?

Without a web-to-print API, every online order is handled twice: once by the buyer, once by your team re-keying it into production and chasing files and tracking. Cmsmart sees this as the main hidden cost in growing print shops: staff time, errors and slow dispatch that grow with every order.

  • Re-keying. Product, options, quantity and delivery details are typed into a second system, and every hand-typed field is a chance for a mistake.
  • File chasing. Artwork arrives by email or sits in the store, gets renamed by hand and can be printed from the wrong version.
  • Blind status. Customers ask "where is my order?" because production and shipping status never reach the store.
  • A ceiling on growth. When order handling is manual, more orders means more admin hires before it means more profit. The web-to-print market is forecast to grow from USD 26.59 billion in 2025 to USD 36.38 billion by 2031 — automating now means capturing that growth without hiring at the same rate.

Put a number on it with your own data: orders per month × minutes of manual handling per order × hourly cost, plus orders with a data or file error × cost to fix or reprint one. That is the monthly budget the integration is competing with.

What does a connected print workflow look like?

In a connected workflow, the buyer designs and pays in your WooCommerce store, the Cmsmart Product Designer turns the design into a print-ready PDF, and an API integration sends the job to production or a partner and writes status and tracking back. Your team handles exceptions instead of every order.

Example scenario

A corporate buyer reorders 500 branded notebooks at 10 pm. The store prices them, the design opens with the approved logo, and checkout completes. Overnight the print-ready PDF renders and the job enters the production queue with the right stock and finish. In the morning the operator only sees the two orders that need a human decision. When the partner ships, the tracking number appears on the order and in the customer's email automatically.

That expectation is not a stretch for B2B buyers anymore: McKinsey's 2024 B2B Pulse survey found 73% are willing to spend over $50,000 per order through self-service channels, up from 59% two years earlier — reordering print at 10 pm without a phone call is what they already expect. If you want to sketch this for your own systems, talk to an ecommerce expert.

How does Cmsmart connect your store, designer and print partners?

Cmsmart connects the pieces in layers: WooCommerce for catalogue and checkout, the Cmsmart Product Designer for artwork and print-ready PDFs, file sync and hooks as the hand-off point, and a custom connector that maps orders to your MIS, ERP or print-on-demand partner and brings status back.

What is a web-to-print API? It is the endpoints and messages connecting an online store and design tool to the systems that print and ship the order, so data and artwork move automatically instead of by email.

Cmsmart insight: Decide which system owns each field before anyone writes code: price in the store, stock in the ERP, production status in the MIS. Integrations break when two systems both claim the same field. We map ownership in discovery, saving rework later.

What is the business value of a web to print API integration?

The value of a Cmsmart web-to-print API integration comes from removing manual steps: orders are not re-keyed, files are not chased, customers see status without asking. You measure it with your own KPIs: handling minutes per order, error and reprint rate, order-to-dispatch time and support tickets per order.

BenefitHow it shows up in your businessKPI to track
No re-keyingOrders reach production as data, not as an email to retypeStaff minutes per order
Right file, every timeThe print-ready PDF that matches the order is the one that is sentJobs reprinted because of a wrong or missing file
Faster dispatchJobs enter the queue the moment payment and approval are doneHours from paid order to production start
Fewer "where is my order?" ticketsStatus and tracking appear on the customer's orderSupport tickets per 100 orders
Room to scaleNew partners or printers are added as a new mapping, not a new processOrders per operations staff member

ROI worksheet. Monthly saving = (orders per month × manual minutes saved per order ÷ 60 × hourly cost) + (errors avoided per month × cost per error). Payback in months = project cost ÷ monthly saving. Fill it in with your numbers; we will help you check the assumptions during discovery.

How do I set up the order-to-print flow in Cmsmart Product Designer?

On the buyer side, turn on the designer per product so every order arrives with a saved design and a print-ready PDF; on the admin side, use Cmsmart Orders, the Customer Design box and Create PDF to review, approve and export the file an integration needs.

Buyer side: where the order and the artwork are born.

  1. The buyer starts from the product page. A product with the designer enabled shows a Start and upload design button next to Add to cart.
  2. They choose how to design. The chooser offers Upload a full design for buyers who already have artwork, or Design here online to customize a template in the browser.
  3. The design is saved back to the product. The product page shows Your artwork next to Add to cart — the same file that becomes the print-ready PDF later.
  4. The cart carries the design. The cart line shows the design preview with Edit design and Upload design links, so anyone can reach the exact artwork that was ordered.

Admin side: where the file becomes print-ready and gets approved.

  1. Export the print file automatically. In Cmsmart › Settings › Output, turn on Auto export design to PDF and pick the order status for auto export. Since 2.16.0 the print-ready PDF queues in the background when the customer clicks Process.
  2. Review orders in one place. Cmsmart › Orders lists every design order with its production status, filterable by "Awaiting review" instead of reading every email.
  3. Open an order to see its timeline. The order detail page tracks Placed → Paid → Awaiting review → In production → Shipped → Delivered, plus a Quick actions panel with Download print PDF.
  4. Approve the artwork. In the Customer Design box on the WooCommerce order screen, check the design and Accept, or Decline with a reason emailed to the customer. The approved-artwork lock (2.17, filter nbd_ordered_design_edit_locked) then refuses further saves over that design, so the file you approved is the file that prints.
  5. Confirm the print-ready PDF. The order's artwork screen shows Ready, Rendering, Failed or Not rendered, with a Regenerate print-ready PDF button. Since 2.17.0, Cmsmart Cloud rendering, the server fallback, the preview and Create PDF read the same page geometry, so the file matches the order at custom sizes too.
  6. Hand off to code. A developer listens to nbd_print_pdf_ready and nbd_print_pdf_failed to push the file and order to a partner API; after three failed attempts, recipients get an alert naming the order and reason.

What can Cmsmart build on top with custom development?

Cmsmart builds the connector layer the plugin deliberately leaves open: print-on-demand and trade-printer connectors, MIS and ERP order sync, status and tracking write-back, multi-printer routing and AI checks before a job is released. Each is scoped as a project with discovery, solution design, sprints, QA, launch and support.

  • Print-on-demand connector. Business reason: sell without stock and without re-entering orders, in a market valued at USD 11.38 billion in 2025, growing at a 20.06% CAGR through 2034. We build the link from WooCommerce and the print-ready PDF to the partner's order API (for example Printful or Printify), including product and variant mapping — the plugin has no ready-made connector for these providers.
  • MIS / ERP order sync. Business reason: one source of truth for jobs, stock and invoicing. We map orders, options and customers to your production or accounting system.
  • Status and tracking write-back. Business reason: fewer support tickets. We listen to partner callbacks and update the WooCommerce order and customer emails.
  • Multi-printer routing. Business reason: send each job to the best press, region or partner. We route by product, quantity, material or delivery address.
  • AI preflight gate. Business reason: stop bad files before they cost a print run. We connect AI Preflight results to your release rules, so only clean or approved files ship.

Plan my print API integration

Why work with Cmsmart on a print integration?

Cmsmart has built ecommerce and web-to-print systems since 2012 as a division of Netbase JSC, and develops the Cmsmart Product Designer itself, so the integration is designed by the team that knows where the artwork and order data come from.

Our records count 6,300+ client projects, 500+ custom development projects and clients in 80+ countries (WorkSuite project records, Sep 2026). Cmsmart is rated 4.2 on Trustpilot (404 reviews). Frequently asked questions

Does Cmsmart Product Designer include a Printful or Printify connector?

No. The plugin exports print-ready PDFs, syncs files to your storage and fires developer hooks. A connector to a specific print-on-demand provider is custom development.

Can it connect to our ERP or MIS?

Yes, as a custom integration: we map orders, options and files from WooCommerce and the designer to your system's API or import format.

Can the print file reach my printer without anyone touching it?

Yes, within the plugin: turn on Auto export design to PDF and set Automatic synchronize output file to FTP, SFTP, Dropbox, Amazon S3 or Google Cloud Storage.

What stops someone editing the artwork after it is approved?

The approved-artwork lock: saving over an approved design is refused on the server, from any link or open designer tab, unless a store widens it with the nbd_ordered_design_edit_locked filter. Editing after a decline, or placing a reorder, always starts a fresh print file.

Is the 2.17.0 CMSmart Connector a print-partner connector?

No. It is an off-by-default foundation (site enrollment, signed requests, a durable outbox) for the Cmsmart Dashboard. Nothing is sent until nbdesigner_connector_enabled is set to yes.

How long does an integration take?

It depends on the number of systems and how good their APIs are. We give a scoped plan and timeline after discovery, including test orders and exception handling.

Tell us which systems and partners you use. Cmsmart maps the data, builds the connector and tests it with real orders, so your team only handles exceptions.
